Position Summary:
The Accountant plays a critical role in supporting daily and monthly financial operations, reporting directly to the Accounting Manager. This position is responsible for cash management, accounts payable, accounts receivable support, credit card and expense administration, month-end close activities, and providing analytical support as needed.
The Accountant partners cross-functionally with the accounting team, account managers, client services, product delivery, and business systems teams to execute daily tasks, resolve issues, and support financial compliance. Success in the role requires a strong understanding of GAAP, proficiency with ERP systems, and database/analytical skills including query building and reporting.

Key Responsibilities
Invoicing & Payments:
- Process customer payments via check, ACH, or credit card and apply balances accurately to accounts; resolve payment issues.
- Process vendor invoices and pay by ACH or check within terms; maintain vendor accounts and support vendor requests.
- Reconcile ERP (SAGE) cash accounts with bank statements and research discrepancies.
- Process daily invoicing and resolve issues as needed.
- Process transactions in third-party software (e.g., Ariba, Coupa) and work with Account Managers to modify customer orders.
- Create and manage vendor records, obtaining required documentation as needed.
- Manage corporate credit card accounts, monitor purchases, code charges accurately, prepare monthly expense reports.
- Calculate and pay distributor royalties quarterly, with review/approval support from Senior Accountant and business owner.
Monthend Close & Reporting:
- Forecast cash flow weekly; review and reconcile banking transactions.
- Process monthly journal entries.
- Manage prepaid expenses and calculate monthly amortization schedules.
- Provide backup support for payroll administration and work with Senior Accountant during month-end processes.
- Assist in organizational and documentation maintenance within financial systems and shared platforms (The Doc, Asana, G Drive).
- Support accuracy and timeliness of month-end close activities and reconciliations.
Process Improvement & Controls:
- Provide ERP (SAGE) support for staff inquiries and process troubleshooting.
- Collaborate cross-functionally to develop and improve financial processes, ensuring accurate invoice, payment, and reporting workflows.
- Maintain process documentation and implement best-practice controls for cash management, expenses, and vendor payments.
- Support process efficiency initiatives related to invoicing accuracy, payment collection, and vendor management.
Client Support:
- Partner with account managers, client services, product delivery and business systems teams to facilitate daily transaction processing and resolve issues.
- Respond promptly to customer and vendor inquiries regarding payments, invoices, and account reconciliations.
- Deliver high-quality, detailed invoice support and reporting to meet client needs.
Qualifications:
- Bachelor’s degree in Accounting, Finance, or related field.
- 1-2 years of accounting experience, including exposure to cash management, AR/AP, and month-end close.
- Working knowledge of GAAP and financial statement preparation (income statement, balance sheet, cash flow).
- Proficiency with ERP systems (SAGE preferred), Avalara, and Microsoft Office (Excel expertise strongly preferred).
- Strong analytical, organizational, and problem-solving skills with high attention to detail.
- Ability to work collaboratively across teams and communicate effectively with non-finance partners.
- Self-aware, with a good sense of humor, motivated by team and company results over hierarchy or title.

GovDocs serves companies in building and executing their employment law compliance program in two primary ways:
- Employment Law Posting Service: We manage all the complexities of identifying and providing the required set of employment law postings from the 1,500+ potential postings across the U.S. and Canada. Using proprietary technology, we allow companies to manage, track and verify postings at each of their locations – including our patent pending PosterCheck technology. Our Employment Law Posting Update service is used by almost 22% of the Fortune 500 and 30% of the Fortune 100.
- Employment Law Compliance Software Solutions: This is a first to market Software-as-a-Service starting with our Minimum Wage product and Paid Leave products, which allow companies to identify and track which laws apply to their locations and employees, then provides all relevant data to make decisions. This service was created in response to requests from some of our largest customers who recognized that employment law expansion across and variances between jurisdictions (Federal, State and Local) were too difficult to manually track.
GovDocs has grown revenue annually by 18% since 2008 with a 96% customer retention rate, primarily due to our Postings Update Program both obtaining and retaining customers – as employment law postings are required by law, every company has an existing provider. Our Software Solutions are an entirely new line of business that gives us great growth potential to create a full Employment Law Compliance (ELC) platform of solutions, it is also challenging us to reinvent how we view urgency, innovation, and teamwork.

Compensation:
This position is critical to the success of our business and the compensation package will be commensurate with the candidate’s experience and skills. This role will include a base salary and performance-based incentives.
