Key Values: Up-to-Date Labor Law Posters, County and City Updates
Before GovDocs, this retail giant dedicated two full-time employees to manage labor law compliance, but it still struggled to identify and organize all federal, state, county and city updates. To compensate, the company would “err on the side of caution” and require stores to download, print and re-post all updates.
This approach created several problems:
The GovDocs Update Program. Once the retailer started this program, its locations now receive updated, laminated labor law posters ONLY when a mandatory update occurs. The stores simply remove outdated posters and display new ones, maintaining compliance and reducing clutter.
The largest pet supply company in the U.S. wanted their 1,200 locations to remain compliant with state and federal labor law posting requirements – without taking internal team members away from other projects.
“We wanted a company that monitors changing legislation and ensures we’ve got what we need to stay in compliance with the law – and we want quality posters in our stores.”
Prior to choosing GovDocs in 2008, they used a different vendor that provided “panel” updates instead of new posters when mandatory changes affected their stores.
GovDocs wasn’t barking up the wrong tree when we demonstrated to them that we could automatically deliver the most current GovDocs state and federal posters to their stores – without their store managers having to deal with the additional labor of the panel replacement required by their previous vendor.
“We were really looking for the process to be as hands-off for us as possible.”
You mean ‘paws off’, right?
Employees of this upscale discount retailer in more than 2,000 locations work in a variety of environments ranging from corporate offices to retail stores. They needed a way for all of their employees to have access to compliance postings – no matter the location.
Their previous vendor gave them ‘peel and post’ revisions to place over existing posters, making it difficult for store managers to determine if they had the latest posters.
Now with the GovDocs Update Program, their store locations automatically receive an updated poster whenever mandatory changes affect them – without having to determine where an adhesive sticker should be placed.
The shipments arrive with tube labels branded with the retailer’s logo so that location managers know to open the shipment and take action.
Additionally, each GovDocs poster includes a QR code that location managers can scan with a mobile device to instantly determine if their posters are up-to-date with the latest posting requirements.
This Fortune 500 convenience store chain was shopping for shipping and purchasing options.
With 3,500 locations in the U.S. alone, this multinational employer kept busy with new store openings, open enrollment, and in-person training. They wanted to explore their pricing and program options, but their previous vendor gave them the runaround, dragging their feet when it came to time to retrieve their location list and program-spend information.
That wasn’t very convenient.
With GovDocs, they now receive automatic notification of changes to mandatory workplace postings through the GovDocs Alert Program. They choose when to buy at negotiated pricing levels. GovDocs ships their labor law posters to a central location for distribution for even greater savings.
Oh, and just like other GovDocs customers, they own their location list. No more runaround.
With the Phased-in Update Program, this eyeglass retailer’s 3,800 company-owned locations were able to keep their old workplace posters until posting changes triggered new poster shipments from GovDocs.
GovDocs also provides this eyewear retail giant more than 260 sets of labor law postings for their mall kiosk locations. Recipients simply replace old postings in their workplace binders whenever a mandatory change affects them.
They reduce shipping costs by using their own carrier accounts for poster shipments.
Managing a posting compliance program internally is risky and requires significant staff resources. At least that’s what a large national home improvement retailer decided just before choosing GovDocs as their outsourced posting compliance provider.
Previously the company had printed and distributed their labor law posters, which required staff time, from continuous research to fulfillment. They determined it would be more cost-effective to choose a labor law poster provider, but they did not want to sacrifice their ability to develop branded and customized posters that included an important company policy document for employees.
They selected GovDocs to provide highly customized posters at very competitive rates and a seamless compliance program for more than 1,800 locations in the U.S. and Canada.
The retailer took an active role through the poster development process, and GovDocs provided layout options, giving the retailer the customization and control they were seeking.
Thanks to the GovDocs Update Program, each store location and distribution center receives attractive, all-on-one posters that include the policy document and company branding. The Legal and Human Resources Departments are confident that their locations are compliant and their employees have access to an important company policy document.
When this home improvement retailer selected GovDocs in 2006 for its posting compliance program, they were seeking an outsourcing partner who could plug into their ordering and invoicing system and keep more than 2,200 locations compliant with labor law postings.
They use a cloud-based service called Ariba that enables suppliers like GovDocs to process electronic processing of orders and invoices for them. Being able to service an account as large as this one and other corporate-level clients who also use the Ariba system requires GovDocs to register for and remain up-to-date with Ariba and its upgrades. This flexibility allows store locations to order replacement items, and corporate finance receives the invoices it needs to track and pay in a consistent and centralized portal.
Their GovDocs Account Manager is a corporate account specialist. Day in and day out, she provides ongoing and active management of her corporate clients. She regularly supports their compliance team during internal comprehensive reviews of all locations for posting compliance and company policy document displays.
Employee relations is a significant concern for any large employer, including the largest broadline closeout retailer in the United States. When the National Labor Relations Board (NLRB) announced a required posting that affected the employer-employee relationship, this Fortune 500 company found their former vendor was unwilling to postpone shipping of one of the most contentious postings in labor law history.
Did we mention former vendor?
While the NLRB posting was enjoined by federal courts, the retailer judged GovDocs to be a highly flexible compliance provider for its nearly 1,500 stores in 48 states and Canada. Now the company’s 37,000 employees keep up to date with their rights and responsibilities through the GovDocs Update Program.
