Position Summary:
The Accounts Receivables Clerk plays a critical role in supporting daily and monthly financial operations, reporting directly to the Accounting Manager. The primary responsibility of this role is to manage Accounts Receivable functions, ensuring timely and accurate processing of customer invoices and collections. This position plays a key role in maintaining positive cash flow and supporting overall accounting operations.
The Accounting Clerk interacts with customers, the accounting team, client services, and business systems teams to execute daily tasks, resolve issues, and support financial compliance. Success in the role requires great attention to details, good communication, time management, and organizational skills.

Job Title: Accounts Receivables Clerk
Reports to: Accounting Manager
Status: Regular Full-Time
Pay: $45,000 – $55,000

Key Responsibilities
Invoicing:
- Process daily invoicing and resolve issues as needed.
- Process transactions in third-party software (e.g., Ariba, Coupa) and work with Client Services to modify customer orders.
- Process and manage customer invoices through designated online platforms and other financial systems to ensure accurate and timely billing.
- Review AR aging reports regularly and follow up on overdue accounts based on aging buckets to maintain healthy cash flow.
- Generate and manage finance-related tickets in Salesforce to communicate and coordinate with other departments for issue resolution.
- Contact customers regarding outstanding balances, provide account statements, and resolve discrepancies in a professional and timely manner.
Month-End Close & Reporting:
- Provide backup support for the accounting team.
- Successfully uploads all monthly invoices in a timely manner.
- Assist in organizational and documentation maintenance within financial systems and shared platforms (The Doc, Asana, G Drive).
- Support accuracy and timeliness of month-end close activities and reconciliations.
Process Improvement & Controls:
- Provide ERP (SAGE) support for staff inquiries and process troubleshooting.
- Collaborate cross-functionally to develop and improve financial processes, ensuring accurate invoices, payment, and reporting workflows.
- Maintain process documentation and implement best-practice controls for accounts receivables.
- Serves as Accountants back-up that may include AR payment applications and Accounts Payable related activities
- Review accounts for discrepancies and resolve issues promptly
Client Support:
- Partner with account managers, client services, product delivery and business systems teams to facilitate daily transaction processing and resolve issues.
- Respond promptly to customer and vendor inquiries regarding payments, invoices, and account reconciliations.
- Deliver high-quality, detailed invoice support and reporting to meet client needs.
Qualifications:
- Associate’s degree in accounting, Finance, or related field.
- 0-2 years of accounting, collections, and/or related experience
- Proficiency in utilizing online portals to manage invoices and account information efficiently.
- Microsoft Office (Excel knowledge preferred).
- Strong analytical, organizational, and critical thinking skills with high attention to detail.
- Ability to work collaboratively across teams and communicate effectively with non-finance partners.
- Self-aware, with a good sense of humor, motivated by team and company results over hierarchy or title.

- Employment Law Posting Service: We manage all the complexities of identifying and providing the required set of employment law postings from the 1,500+ potential postings across the U.S. and Canada. Using proprietary technology, we allow companies to manage, track and verify postings at each of their locations – including our patent pending PosterCheck technology. Our Employment Law Posting Update service is used by almost 22% of the Fortune 500 and 30% of the Fortune 100.
- Employment Law Compliance Software Solutions: This is a first to market Software-as-a-Service starting with our Minimum Wage product and Paid Leave products, which allow companies to identify and track which laws apply to their locations and employees, then provides all relevant data to make decisions. This service was created in response to requests from some of our largest customers who recognized that employment law expansion across and variances between jurisdictions (Federal, State and Local) were too difficult to manually track.
GovDocs has grown revenue annually by 18% since 2008 with a 96% customer retention rate, primarily due to our Postings Update Program both obtaining and retaining customers – as employment law postings are required by law, every company has an existing provider. Our Software Solutions are an entirely new line of business that gives us great growth potential to create a full Employment Law Compliance (ELC) platform of solutions, it is also challenging us to reinvent how we view urgency, innovation, and teamwork.

Compensation:
This position is critical to the success of our business and the compensation package will be commensurate with the candidate’s experience and skills. This role will include a base salary and performance-based incentives.
