Position Summary:
Reporting to the Director of Finance and Accounting, the Accounting Manager ensures the integrity and accuracy of the company’s financial operations, with a specialized focus on sales tax compliance and invoicing systems. This role is responsible for managing all aspects of the sales tax lifecycle (with expertise in Avalara), overseeing complex invoicing processes, and supervising two accounting staff members. The Accounting Manager drives the creation and implementation of processes that guarantee accurate financial information, customer invoices, and accounts receivable records. The position requires strong troubleshooting abilities, strong organizational skills, effective cross-functional communication skills, and the ability to resolve issues in a fast-paced environment. This position requires a strong understanding of GAAP accounting and ERP systems.
Key Responsibilities:
Team Leadership:
• Supervise, mentor, and develop two accounting staff, fostering a culture of accountability and continuous improvement.
• Prioritize and delegate responsibilities to meet deadlines and performance goals.
Sales Tax & Compliance:
• Serve as subject matter expert for sales tax regulations, multi-state compliance, and nexus issues.
• Oversee the preparation, review, and timely filing of all sales tax returns, ensuring remittance accuracy.
• Administer and optimize Avalara tax solutions across the organization.
• Support all sales tax-related audits and inquiries.
Invoicing Systems & Accounts Receivable:
• Administer invoicing systems, ensuring customer statements are accurate, timely, and reflect contract terms.
• Validate accounts receivable data across multiple systems for completeness, accuracy, and proper application to customer accounts.
• Lead efforts to reconcile and resolve discrepancies between invoicing, ERP, and payment systems.
• Collaborate with cross-departmental teams to improve invoice accuracy and customer experience
Troubleshooting & Client Support:
• Expertly address a wide range of clients invoicing requests and issues, providing swift and effective resolutions.
• Implement root cause analysis on recurring invoicing challenges and develop sustainable solutions.
Monthly Close & Financial Reporting:
• Lead and review the monthly accounting close, ensuring journal entries and reconciliations are accurate and timely.
• Oversee reconciliation of sales tax and accounts receivable accounts.
• Ensure financial statements accurately reflect invoicing activity and outstanding receivables.
Process Improvement & Controls:
• Enhance and document process controls related to sales tax, invoicing, and accounts receivable.
• Implement automation and data validation initiatives to streamline operations and improve accuracy.
Qualifications:
• Bachelor’s degree in Accounting, Finance, or related field.
• 4+ years of progressive accounting experience, including sales tax and accounts receivable management.
• 2+ years of experience as an Accounting Manager.
• Direct experience with invoicing systems, customer statement processes, and multi-system data validation.
• Demonstrated expertise in Avalara and ERP/accounting software.
• Proven troubleshooting and problem-solving skills related to billing and invoices.
• Advanced Excel skills; strong analytical, organizational, and communication skills.
Preferred Skills:
• CPA or actively pursuing.
• Experience leading process automation and system integrations.

GovDocs serves companies in building and executing their employment law compliance program in two primary ways:
- Employment Law Posting Service: We manage all the complexities of identifying and providing the required set of employment law postings from the 1,500+ potential postings across the U.S. and Canada. Using proprietary technology, we allow companies to manage, track and verify postings at each of their locations – including our patent pending PosterCheck technology. Our Employment Law Posting Update service is used by almost 22% of the Fortune 500 and 30% of the Fortune 100.
- Employment Law Compliance Software Solutions: This is a first to market Software-as-a-Service starting with our Minimum Wage product and Paid Leave products, which allow companies to identify and track which laws apply to their locations and employees, then provides all relevant data to make decisions. This service was created in response to requests from some of our largest customers who recognized that employment law expansion across and variances between jurisdictions (Federal, State and Local) were too difficult to manually track.
GovDocs has grown revenue annually by 18% since 2008 with a 96% customer retention rate, primarily due to our Postings Update Program both obtaining and retaining customers – as employment law postings are required by law, every company has an existing provider. Our Software Solutions are an entirely new line of business that gives us great growth potential to create a full Employment Law Compliance (ELC) platform of solutions, it is also challenging us to reinvent how we view urgency, innovation, and teamwork.

Compensation:
This position is critical to the success of our business and the compensation package will be commensurate with the candidate’s experience and skills. This role will include a base salary and performance-based incentives.
