October 2026 Poster Spotlight

A highlight of several recent labor law poster releases that employers should know about, brought to you by the GovDocs Employment Law and Compliance Team.

In this monthly series, the GovDocs Employment Law and Compliance Team highlights three recent labor law poster releases that employers need to know about.

Key Takeaways

✓  Plano, Texas: Plano released a new No Smoking poster that must be posted at each building entrance and each restroom entrance. Standard Update Program customers with Plano locations will receive it this month.

✓  Virginia: The Seizure First Aid poster, required since July 2022, was updated to refine its “Stay” and “Do Not” guidance on how employees should respond when someone has a seizure. GovDocs is shipping the updated poster and adding a digital version to the Intranet Poster Program.

✓  Washington: Under the Immigrant Worker Protection Act, a new poster explains two employer notice requirements tied to federal I-9 inspections, each due within five business days. Customers will receive the poster in English, with a Spanish version for Spanish Update Program customers.

Plano, Texas No Smoking Poster

Texas has a new jurisdiction to watch. Plano, also known as the “Hot Air Balloon Capital of Texas,” released a No Smoking poster that will ship out this month.

No Smoking posters can come with unique posting requirements designed to protect the health and safety of all employees. For example, in Plano, employers should be prepared to hang posters at each building entrance, as well as at each restroom entrance.

Employee health and safety is important to GovDocs, so keep an eye out for these posters if you are a customer of our Standard Update Program with locations in Plano.

Virginia Seizure First Aid Poster

Few states include first aid posters in their offerings, and even fewer have seizure-related posters. Virginia is one of them and has required this poster since July 2022. This month, the poster was updated to refine two sections to help ensure that an individual experiencing a seizure receives swift care:

with GovDocs Employment Law News

  • Stay: To help someone in distress, employees should be prepared to time the seizure, remain calm, check for medical ID, and follow appropriate action plans.
  • Do Not: Employees should not restrain the person or put any objects in their mouth.

The workplace should be a safe environment for everyone, but medical emergencies can happen when we least expect them. Informing employees of proper care could save someone’s life, and the first step is education and compliance. In addition to shipping the updated poster out to customers in Virginia, GovDocs also includes a digital version of the posting in our Intranet Poster Program.

Washington Workers’ Rights When Federal Immigration Agents Conduct an I-9 Inspection of the Workplace Poster

Immigration is a hot topic today, and the workplace is not immune to the effects of recent events. To reduce confusion and streamline processes, Washington passed the Immigrant Worker Protection Act and released a much-anticipated poster informing employees of the notice requirements when ICE and other federal agents conduct I-9 inspections. The poster provides detailed information regarding the two notices employers must provide to employees:

  1. Within five business days of notice of inspection from a federal agency, employers must post and provide notice to their employees.
  2. Within five business days of receiving the inspection results, employers must notify impacted workers if errors in work authorization were identified by federal agencies.

The poster also directs employees and employers to the Washington State Attorney General’s Office with questions or concerns or to report potential violations.

GovDocs will be shipping this poster to customers in Washington, including the Spanish version that will be sent to customers with our Spanish Update Program.
